Gemini Workspace connectors now reach your CRM and books

Gemini inside Google Workspace can now read straight from QuickBooks, HubSpot, Salesforce, Mailchimp, Monday, Asana, and Atlassian Rovo. Ask a question in the sidebar of Docs, Sheets, Slides, or Chat, and Gemini pulls the answer from whichever of those systems your admin has connected, no export, no copy and paste.

Google rolled this out across Rapid Release and Scheduled Release domains this week, built on the Model Context Protocol standard that lets an AI model call out to a business system directly instead of working only from text a person pasted in. For a small business running QuickBooks for the books and HubSpot for the pipeline, that is the difference between asking someone to pull a report and just asking the question and getting the number back.

What changed for a small business on Workspace

Before this, getting QuickBooks or HubSpot data into a document or a chat thread meant someone logging into that system, finding the number, and typing or pasting it over. Now an employee can ask Gemini in the sidebar for an invoice status or a deal stage and get an answer pulled live from the connected system, with the question and the answer staying inside the Workspace app they already have open.

Gemini Workspace connectors and the permission problem

The catch sits in access, not accuracy. Google's own guidance for admins warns that connectors should not bypass the permissions already set in the source system, that write actions need a confirmation step and an audit log, and that combining several systems in one query can surface information no single person was ever meant to see side by side. A staff member who could see a customer's support tickets and a separate staff member who could see that customer's invoice history now share a Gemini sidebar that can reach both at once.

What to actually do before you turn this on

    List which connectors you actually need

    Of the seven, most small businesses touch two or three of these tools daily. Turn on QuickBooks and HubSpot if that is your stack and leave the rest off until there is a reason.

    Match Gemini access to existing roles

    If a bookkeeper is the only one who should see revenue numbers, the connector needs to follow that same line inside Gemini, not open it to everyone with a Workspace seat.

    Require confirmation for anything that writes

    A query that reads a deal stage is low risk. A query that updates one is not. Require a confirmation step before any connector writes back to QuickBooks or HubSpot.

    Check the audit log after week one

    Google logs connector queries. Pull that log after the first week and look for anyone querying a system outside their normal role.

Which Workspace editions get Gemini Workspace connectors?

Google lists Business, Enterprise, Consumer, and Education editions, but exact eligibility depends on the specific plan, so check your admin console rather than assuming your plan qualifies.

Do I have to turn every connector on at once?

No. An admin can enable connectors by domain, organizational unit, or group, so you can start with one tool and one team.

Can Gemini change data in QuickBooks or HubSpot through this?

Write operations are possible, but Google's guidance calls for a confirmation step and an audit log before any connector is allowed to write back to a source system.
